Vendor setup guide for 6th annual SA Juneteenth Block Party & Fair

This page explains vendor invites, vendor access, app registration, profile updates, logos, vendor pages, QR codes, and event-day check-in.

How vendor access works

Vendors are usually added to the event by the event team. Once added, the vendor receives an invite email with a setup link and a 6-digit access code.

The vendor setup page is separate from general guest registration. A vendor can have a vendor profile, logo, and public vendor page, while still needing to complete app registration or login for full Event App access.

If you cannot find your vendor invite

  1. Open Vendor Access.
  2. Enter the email connected to your vendor invite.
  3. Check inbox, spam, promotions, and updates folders.
  4. Use the setup link in the email to open vendor prep.
  5. If the email is wrong, ask the event coordinator to update the vendor record or add you as an authorized user.

Using the vendor access code

The 6-digit code lets the Event App confirm that this device or user should see vendor prep tools for your vendor record.

Use the same email address connected to the vendor invite. If the code fails, resend the invite or ask the event coordinator for help.

Account

Why vendors may still need to register for the app

Editing a vendor profile and being registered in the Event App are related but not identical. Vendor access proves you can manage that vendor. Event App registration connects your person/account to the event experience.

For consistency, vendors should use the Event App wizard, create or sign into a PostSomething account, and keep the same email connected to their vendor invite whenever possible.

What vendors should update

  • Business name: the public name guests see.
  • Logo: the image shown on vendor lists, sponsor cards, and vendor pages.
  • Vendor message: what you want guests to know before they visit your booth.
  • Deck/content: extra cards, photos, offers, or details connected to your vendor page.
  • Arrival/setup info: internal details used by coordinators when available.

What guests can see before the event

Guests can open vendor pages before event day so they can see what vendors offer and make a plan. That is why logo, message, and content matter before the doors open.

If your vendor page looks empty, add a logo and a short customer-facing message first. Those two pieces make the page feel real immediately.

Event Day

Vendor check-in and QR codes

On event day, vendors may check in at the event using the event's official vendor or arrival flow. Coordinators may use a kiosk or event-day tools to confirm arrival and station status.

If guest vendor QR scanning is active, guests may scan vendor QR codes to collect vendor check-ins, play vendor bingo, or complete scavenger-style activity.

On iPhone, guests may need to scan QR codes with the Camera app instead of an in-browser scanner.

Troubleshooting

Common vendor problems

  • I updated my logo but still show missing logo. Refresh the page. If it still does not show, the image may not have saved to the vendor record being used for this event.
  • I can edit content but show not registered. Vendor access and event registration are separate states. Complete the Event App registration/login flow too.
  • The setup link opens the wrong place. Sign in first, then open the setup link again.
  • I do not own the invite email. Ask the coordinator to add you as an authorized user for that vendor.
  • I need guest instructions. Use the Event Help page for the guest-facing version.
